Extra Features in Purchase Invoice Transaction Lookup

Purchase Ledger invoice entry has a transaction lookup option that allows for linking of a transaction to another database and to copy information from / to that database. In practice this is often used to link to the sales order header database where a purchase invoice specifically relates to a customer order.

This new option allows for the system to read the customer account / invoice reference from the lookup database record and perform a Ledger Enquiry check against this invoice so you can determine if it has been paid.


After confirmation that this is the lookup record required the system then performs the sales account ledger enquiry the customer account / invoice reference recorded on the lookup record.

The usual options, depending on configuration, of VIEW / ANALYSIS / DOCUMENT / ORDER are available to review the sales invoice. Pressing the <ESC> key or the CLOSE button will exit back to the invoice entry to allow you to continue to post the invoice transaction.


Installation

Application User Facilities

The configuration parameters for the transaction lookup are accessed via the Purchase Ledger Application User Facilities. To update select Installation from the main menu followed by Application Manager and then Application User Facilities. Select the Purchase Ledger application followed by Purchase Transactions and proceed to the second page of parameters. As you <Enter> through the parameter ‘Perform Lookup to External File for Validating / Updating’ a pop-up screen will display the configuration parameters if the feature is enabled.


The new parameters to access the Sales Account Ledger Enquiry are:

Check S/L Account Info from I/P File: Account – reference the data item on the lookup record that contains the sales ledger account code.

Ref
– reference the data item on the lookup record that contains the sales ledger invoice reference.
