Product Maintenance

This part of the program allows you to add, amend and delete products from the product file which applies to this company. There is no need for a separate product file if you are using your stock file for the purpose of invoicing — the invoicer does not have to update stock files, but it can make use of the information in them.

There may be good reasons to have a product file in addition to a stock file. For example, you might have a service operation which is invoiced separately to your normal warehoused goods. The product file could hold the portfolio of services on offer, together with the standard prices charged.

Choosing the Product Maintenance option gives you the following screen.

You can create new products on the fly whilst invoicing, if the document design allows this. This is achieved with the <F7-Option> key at the point within the invoice where you are asked to enter the product code.

For Datafile Diamond and Premier only, the product maintenance screen designs are user-definable through the Installation program. The example screen shown above may well differ in layout, therefore, from the screen you see on your own system. The functions remain the same, however.

Note that, if you have a stock file (as opposed to a product file) you should use the stock program’s maintenance procedures in preference to those described below.
