Discussed earlier in conjunction with the Credit Control Manager, the option to flag the account with the date a statement is printed, can be used even when not using the Credit Control feature.
An option within the Sales Statements allows you to flag back to the account record the date the last statement was printed. However, if using different statements for debtor chasing – a general statement, a nice warning, a demand, etc. – then using this feature means that the dates would be continually overwriting. A new option allows you to save the date to one of five alternate statement date fields.
Document Design Manager
Parameter screen 1 of the statement design allows you to select which date field to update.
Acc Stm Flag? – Set number, from 1 to 5, of the date flag to update.
The additional date field items need to be added to the sales ledger accounts file. In addition you can add a flag field (Y1) that will store the number 1-5 depending on which statement was ran last – this could be useful in defining selection criteria.
Item Name Type Description
Stm-Date- D/E Updated when a statement set to use flag-1 is ran. Note you may wish to rename these fields according to the document you are using to flag these fields – i.e. if it’s an overdue warning you could rename as ‘Warn Initial’.
Stm-Date-n D/E Second-to-Fifth date field available for flagging
Last-Stm-Flag Y (1) Flag updated with 1-5 showing which ‘flag’ statement was last run. This could be useful in selection criteria but is not necessary for the statement process to flag the date.
The new items need to be updated into the Database Profiles for the Sales Ledger. The parameters screen ‘Account Statements’ includes options to references these new fields.
Notes
As with the standard statement process to flag back the date used these options require exclusive access to the sales ledger databases when printing the statement.
