Additional Options in the Credit Control Manager
The last update, Release 5.7, introduced the popular feature of the Credit Control Manager that provided a single option to help with debtor chasing. Following feedback from users a series of additional options have been added to this feature.
The Credit Control Manager allows a ‘MORE / ZOOM’ option which displays selected details from the account record and allows link to the Ledger Enquiry for the selected account.A new option in 5.8 allows you to nominate selected items on this display screen for update – perhaps because you have amended contact details.
If any update parameters are set then the MORE / ZOOM action will allow a UPDATE button in addition to the ZOOM and OK buttons. When selected the screen is re-displayed showing the items that can be updated (other items display as text on screen). When amended as required select SAVE or ABANDON to return to the MORE / ZOOM display.
Note
The
system requires an exclusive lock on the account record for the UPDATE action
to proceed.
The main definition settings for the Credit Control Manager are accessed via the Application User Facilities for the Sales Ledger. The fourth screen within the Sales Transaction options provides parameter settings for the Credit Control Manager.
The items display on the MORE / ZOOM option are those defined against the parameter ‘Item to View A/C’. Against each item is a tick box which, if set, allows update of this item. Note that the system will only allow you to update text (X-type) data items at run-time.
A quick link to view the outstanding transactions using the Sales Account Ledger Enquiry facility for an account has been added to the options within the Credit Control Manager.
In addition to the option on the menu at the foot of the screen, the outstanding transactions can also be viewed via an option on the ‘More/Zoom’ display.
This option is available immediately on update to Release 5.8. No further installation changes are required.
In a Foreign Currency configured system, the Credit Control
Manager will now, prior to displaying the account details, ask for the currency
code to filter the results on. You can
leave blank to display all accounts, or enter a specific currency and only
those accounts matching will be displayed.

A new option available within the Credit Control Manager allows you to enable the output of the debtor list to Microsoft Excel.
If enabled the new option ‘EXCEL’ is available within the
options at the foot of the screen. When
pressed the system will launch Excel and populate a spreadsheet with the
details from the debtor list.
Notes
The spreadsheet ‘DEBTOR CHASING.xls’ is created within the usual reports folder for the company / user based on the setting for MSWORD= within the DATAFILE.INI

Allow output to excel
Set to allow the option to output the debtors list to Microsoft Excel.
You can now nominate an additional account item to be listed within the debtor account list – say ‘Telephone No’ or maybe the outstanding orders total.
Note, however, that depending on the number of items shown on the list, the screen resolution / font settings, and the size of this and other items then the extra display item (and the account name) may not be shown in full and could be omitted.

Acc User Item Shown
Select the additional data item required for display.
You can now sort the accounts listed in order of (say) overdue balance or age days. This can be achieved either at run-time by right-clicking the column heading and selecting ‘Sort Ascending’ or ‘Sort Descending’, or you can pre-set a sort sequence within the configuration options.

Sort on Column
Ascending
Select the column (doesn’t include extra user item) that the account list is to be sorted into – i.e. ‘Overdue’ or ‘Days’ etc. Set the ‘Ascending’ input if sort required in ascending sequence, leave blank for descending sequence.
