Assembly Components as Quick Form
Quick Forms allow
for rapid order entry based around a ‘template’ of order lines and these
templates are each stored in their own separate databases. When implementing quick forms some users
already have the templates defined as an assembly within the system and this
new feature allows you to use the Assembly / Component files as the basis for
Quick Form entry as opposed to the usual quick form databases.
Selecting the Quick Form – either via the Quick option on
the detail entry screen or via <F7> on the stock code input – will prompt
for the assembly code. <F4-Select>
is available to search for the assembly or you can enter the code if
known. Once selected a pick list of the
assembly components is displayed.
As with ‘standard’ quick forms the system lists the entries and you can scroll up/down and press <enter> to change the quantity or price (subject to configuration) together with any extra items. In addition, if an image is linked to the component record you can click the image icon on the toolbar to display an image for the selected entry.
Once any required changes are complete then you can click the Generate button (or press the <Esc> or <F7> key) to create the order details from the assembly quick form.
To enable the use
of Stock Assemblies as the Quick Forms a new parameter has been added to the
Optional Features for Sales Order Processing.To update the parameters select Installation from the main menu followed by Application
Manager and Application User
Facilities. Select the Sales Order Processing application
followed by Enter / Amend Orders, Advanced Input Facilities and Optional Features. The new parameter has been added to the
pop-up parameter screen available when set to ‘Use Quick Forms for Rapid Order Entry’ on screen 2 of the Optional
Features.
Link Quick Form to Assemblies and Components – set to use Stock Assemblies as the source for Quick Forms as opposed to the standard quick form databases. When set a further pop-up is displayed with additional configuration settings.
Note
Selected options that apply when using standard quick forms are not applicable when using the link to stock assemblies, these include options for ‘Code Format to be used’, ‘Stop Cursor at sub-entries in main form’, ‘Extra Stock Item in Maintain Quick Form’ and the option to ‘Allow Duplicate Stock Codes in Quick Form’.
Ignore
Assemblies on F4 – when you
press <F4-Select> on the Assembly Code when selecting a quick form the
system allows selection of all the assemblies by default. This option allows for the ability to filter
records from selection based on criteria – set if required (you could use this
to filter assemblies that are flagged as obsolete for example)

Value to Test Against
If setting a filter option this option allows you to nominate the item, condition and matching value to test. Records that match the criteria are hidden from selection.
Filter Components on Generate – an Assembly may contain additional items that aren’t appropriate for inclusion in a sales order. You may wish to exclude comments or works order operation; exclude labour entries etc. from the generated order details. Setting this option allows for the entry of criteria against the component database that restricts the components processed when creating sales order details. Note that the initial pick list shown from the components continues to display items from the assembly that do not match the criteria, the criteria only applies to the order lines generated.
Component Item for Description – nominate an item from the component file used within the ‘Description’ column for the Quick Form for any Comment or Note component lines within the assembly.
Component Item for Image – nominate the item from the component file that holds any associated image pathname.
Extra Quick Form Items – when set to use Stock Assemblies as quick
forms the options available within the parameter change to allow twenty items
to be nominated on the components file that can be set to be copied to the
sales order detail database. The first
five of these items are displayed on the quick from list and can be optionally
set to be amended on the quick form.
