Delete Active Stock Records

This system prevents the deletion of active stock records – those items with a non-zero physical, reserved or on-order quantity or with associated transactions – to protect system integrity particularly for reporting purposes. However, when retaining transactions for an unlimited time this can mean a stock item can never be deleted resulting in a stock file that can contain items no longer required. This new option allows for a stock item to be deleted in such circumstances subject to an authority level and/or password.

Selecting the DELETE option checks to see if the stock item is active and, when appropriate, will warn according and ask if you are sure you wish to delete the stock item.If you choose to proceed then your authority level is checked against that set and, if insufficient authority, the deletion is rejected. If of sufficient authority and any password is set then this is prompted for and, on successful entry, the stock item and any associated transactions are deleted.The system will log to the SYSEVENT.DAT the deletion of an active stock record.


Installation

Stock System Profiles

The options to allow deletion of an ‘active’ stock record and to set the authority/password for the facility is available within parameter screen 2 of the Stock System Profiles. To update the profiles select Installation from the main menu, lock out the system, and select System Profiles followed by the Stock Control application.


Allow immediate delete if active stock – set to allow deletion of active stock records.

Auth – set the authority level required to allow deletion – leaving blank omits any authority level check.

Password – set any password required to be input to delete an active stock record – leaving blank omits any password security check.
