The Ledger Enquiry options for each application has two panels at the foot of the screen – the left hand panel displaying any notes for the current enquiry record, the right hand panel displaying a graph representing values from the current enquiry record.
This new feature provides the ability to control the
details displayed in these panels allowing you to list records from linked
databases, display emails, scans, word documents, contact records plus the
standard graph and note options.
On selection of the enquiry the configured details are
listed for review, if listing scans, notes, emails, word documents or contact
records then you can use the mouse to select an entry and display the
appropriate content – database entries are view only.
Installation
Ledger Enquiry Manager
The options to define the items displayed on the
enquiry panels are set via the Ledger Enquiry Manager. Select, from the main menu Installation followed by Ledger Enquiry Manager and Enquiries Configuration.Choose the application you wish to amend and then select the Alternate Panel Settings option.
For each panel you can set the following options:
Bottom Left / Right Panel – select the detail to display in the enquiry panel, options allowed include Graph, Notes, Database, Scans, Email, Contacts and Word (please note that not all options are appropriate for each application). You cannot choose the same option for both panels (except for Database but you cannot choose to show the same database for each panel). Leave blank to keep default display
Database to List – if you have chose the Database option you are now asked to select from the databases available for the enquiry. Only the standard enquiry databases are available
Max Records to List – if you have chose the Database option set the number of records to list (0 = 255 records). Where speed is an issue you may wish to restrict to the 10/20 records that will display on initial list.
Items to List – if you have chose the Database option (or the Contacts option) you can select up to five items from the database to be displayed. If displaying the Contacts database then if leave items blank the standard contacts list (items 33-48) are listed instead.
LIFO – set to list details in
LIFO order. If set it is recommended
that the main index code is set as a secondary index on the detail database.
Notes
Any default filter options that may be set for the standard ‘transaction’ lists are not applied when displayed on the enquiry panel. Order Processing detail lists will omit any deleted lines however.
Standard authority level settings apply – database / scan authority levels are taken from applicable enquiry settings.
The Contacts option is only applicable for the sales / purchase enquiry where the contacts database is in use.
Nominal / Cashbook transactions can be listed but with restrictions. The Nominal Ledger Transaction file uses a double account code structure - one for the debit account and one for the credit account.To list transactions you need to create a group data item on the NLT database of the two account fields and set the group item has a ‘null’ separator and is not ‘fixed’ – this group item must be a secondary index. Even then this option would not be applicable on ‘summarised’ transactions (where the debit and credit account are set on a single transaction) which will be omitted from the list.
