Stock Locations - Auto Create / Update Stock Locations

When using Stock Locations the system prompts after creation of a new stock record within Stock Control to set-up the same stock code in other locations and, if Yes, allows you to set up for all locations or set-up for individual locations.Similarly, if configured, the system will after update of an existing stock record within Stock Control prompt to update all/selected locations.

This new feature adds the facility to add new stock items and update changes automatically without user intervention and, for Diamond and Premier Users to omit selected locations from this auto-update.

Installation

System Profiles

Two new options have been added to the Stock System Profiles to enable automatic add and update of stock records across locations. To update Diamond and Premier Users should select Installation from the main menu followed by Application Manager and then System Profiles,Professional users should select Installation, lock out the system and then select System Profiles. Select the Stock Control application and then move to screen 2 of the profiles.


Auto Create Locations – set to automatically create the newly added stock item in the remaining configured locations. Note that system will only create stock in other locations if the ‘copy’ items between stock locations are configured within the Application User Facilities.

Auto Update Locations – set to automatically update stock in other locations after updating an existing record within Stock Control. Again note that the system will only update stock where update ‘copy’ items are set within the Application User Facilities.

 Note

 Updates across locations only occur when adding / updating stock records within the maintenance options within Stock Control. Updates to stock records via transactions or by maintenance procedures within other applications do not action these updates.

Database Changes

For Diamond and Premier Users an optional new flag item can be created on the Stock Locations file to exclude a location from this automatic update process. To add this new item select Installation from the main menu followed by Application Manager and then Restructure A Database. Select the Stock Control application. Elect to update the Live Files and then select the Stock Location File. The existing account data items are then displayed on screen, scroll-down to the next available blank entries and create the following items: File, Item, Name, Type, Description

LOC OMIT-UPDATE ? Flag to identify location as being excluded from the automatic update process.

To insert a new item press <Enter> against a blank entry, enter the title as required and press <Enter>, select the item type (using the drop-down list if required), and depending on item type select the size required.

Once the additional item has been recorded press the <ESC> key and select the UPDATE button to save the database changes.When prompted respond ‘Y’ to the prompts to ‘Extract Existing Data to New Database Structure’ and, if appropriate, ‘Copy Table Entries from Old Database to New Database. Final prompts ask to ‘Remove (.OLD) Database’ and to ‘Carry Out the Same Restructure on the BASE File as well’ – respond as required.If you select to update the base file you need to manually insert the new items at the same data item positions as on the live file.

Database Profiles

The new data item needs to be referenced within the Database Profiles. To update these settings select Installation from the main menu followed by Application Manager and Set Database Profiles. Choose the Stock Control application before selecting the Location File parameter screen.


On the left of the screen is the prompt Omit Auto-Update – against this item reference the data item number of the equivalent item created above, <F4-Select> is available if required.

Application Screen Layouts

Changes are required to the location maintenance screen to allow display / update of the omit update flag. To update the screen select Installation from the main menu followed by Application Manager and then Application User Facilities. Select the Stock Control application followed by Maintain Stock File and then Location Maintenance.


Position the cursor using the mouse where you require the text label for the omit update input and then type the required text. If you make an error move back and (making sure the INSERT status is off) either overtype with text or space characters. If the existing characters shift to the right press the INSERT key to switch to OVERTYPE mode and continue.

To insert the data item position the cursor where required using the mouse and then press <F4-Select>. Move down to the new Omit Update flag on the list of items and press <Enter> to select and update the item on to the screen. You are then prompted whether the item is view-only, set for upper case input (recommended) and whether input is mandatory – respond as required. Once complete choose File from the toolbar and then Save and Exit.

Notes

The copy items between Locations for Add and Update are defined within the Location Options from the same menu for the Location Maintenance action. Diamond and Premier Users can define 48 copy items to be actioned when adding records and a further 48 copy items when updating records. See the Stock Control manual for more details on this feature.

The ‘Omit Update’ flag also applies when the ‘Auto Create/Update’ options are not invoked in the system profiles and you respond Yes to the prompt to create/update in all locations. If select locations to update manually then the ‘omit’ locations can be selected.
