Default Printer / Tray Settings

Datafile Software

Default Printer / Tray Settings

This new feature allows the ability to set the default printer and tray to use within document design (only in the improved designer introduced last update).

On the ‘Format’ pull-down within the document design a new facility is available ‘Printer Settings’ to set the default printer and tray.

Clicking the drop down list shows the printers available from the pc for you to select, after selecting the printer the list of trays can also be selected via a drop-down list.Note that this option assumes that the same printer is available, on the same device path, from all terminals that will process the selected document. If the printer is not available at run-time the usual default will apply.

Order Processing - Sales and Purchase Order Processing documents are slightly more complicated as they already allow default printing options via screen 14 of the document parameters and these new features need to be compatible with the existing options.

As Order Processing allows the setting of two print devices the ‘Print Settings’ option also allows the setting of two printers / trays.

As mentioned above these options interact with the settings on screen 14 of the document parameters.Screen 14 allows setting for the following parameters.

Default Printing to Printer No

Automatic Printing to Printer No / Number of Copies

These options allow you to set the printer that the document is to be output to using the Datafile printer list. Here you could enter number 1-16 for specific printers, 99 for the disk spooler, 102 for e-mail and 104 for PDF files. If the printer no is set to one of these options then this will override the printer settings for the first printer on the ‘Format’ pull-down. To use the ‘Printer Settings’ the default and automatic printer should be ‘0’ (or ‘106’ see next paragraph)

The difference between default and automatic options is that that the default will still offer the printer to the user to confirm but the automatic printer will auto-send to the set printer no. To automatically send the document to the selected printer within the ‘Printer Settings’ set the printer number to ‘106’.If using the second print it is recommended that you set the default/automatic print for the first print device, if just printing to one device then the default printer can be left as ‘0’ and the printer setting will be applied.

If set to print multiple copies then the copies will be sent to the selected printer / tray for the first printer.

Automatic 2ndPrint to Printer No / Number of Copies

The automatic second print is slightly different in that, if set to ‘0’ then no second document will be produced. To print to the second printer set in the ‘Printer Settings’ you must set this as ‘106’ (Note: if this is 0 when you set the ‘Printer Settings’ second printer then this will be updated automatically to ‘106’). As with the first printer, if the automatic second print is set to 1-16, 99, 102 or 104 this will override the printer settings on the ‘Format’ pull-down.If set to print multiple copies then the copies will be sent to the selected printer / tray for the second printer.
