Works Order Ledger Enquiry

The Ledger Enquiry is probably the most used and important tool for enquiry. Anywhere in the (user-side of the) system you can access the Ledger Enquiry and enquire upon the works orders, view its details, and then enquire on linked stock records.

The Ledger Enquiry is accessed in a number of ways – the most common is via the shortcut key combination <Alt>+<L> (in fact the ledger enquiry is often referred to as the ‘Alt-L’). The ledger enquiry can also be accessed via the Tools pull-down option ‘Ledger Enquiries’ and an icon on the toolbar. In addition when using an account in the system, for example when entering payment details, you can use the <F8-Zoom> key to access the Ledger Enquiry for that account.

When accessing the enquiry option (except via the <F8-Zoom key) you are firstly asked to choose the ledger you wish to enquire upon and then enter, in the case of the works order enquiries, the order you wish to enquire upon. <F4-Select> is available as usual.

The initial display shows selected information from the works order header record. At the bottom of the screen are two user-definable panels – these typically will be set to show the works order details for the order but can also include displays listing operations or notes, word documents, email, or scans associated with the works order.

The footer of the screen allows options for a more detailed view of the order details (and from there enquire on their stock records) and to view the stock record for the finished item.

The right-hand display allows access to the CRM, Utilities and Actions tools for the Works Order.CRM and Utilities are standard options throughout each of the application enquiries; the Actions are user-definable.

CRM Tools

Mail – Only active if a data item is available on the works order header for email address this option allows the facility to send email messages relating to the works order, and if using Outlook, to store emails against the works order.

Word – Allows for the creation/linking of word documents against the works order header.

Memo – Allows update/view of a memo against the works order, this memo is then subsequently displayed whenever the works order is accessed.

Notes – Allows the recording of notes against the works order.

Scans – Allows for the scanning of documents against the works order and view of these scans.

Contacts – Not applicable for Works Order enquiry.

Spreadsheets / PDF Files – in the screen shot above these options are available. These are user-definable categories that allow for the display of selected link file types.

Utilities

Graph – not applicable for Works Order Enquiry

Web – only active if data item on the works order header records a website address.

Image – only active if data item on the works order header records contains image filename

Links – opens the folder for stored associated files for the works order

Map – only active if data item on the works order header records a post code

Labels – links to any Report Generator labels defined against the works order header

Clipboard – only active if any copy+ items defined for the works order header database within the database structure

Actions

These items are user-definable and are designed to link operations elsewhere in the system and process these operations for the current works order. By default the options available include:

Update – allows update of the works order header for the current order

Details – allows update of the works order details for the current order

Acknowledge – allows printing of the acknowledgement/print order documents for the current order

Build – allows print of the build documents for the current order
