Select Assembly for BOM Works Order Generation (SOP Only)

The Bill of Materials application allows a feature to create works orders from sales order details flagged for works order generation but Sales Order Processing restricted the setting of this flag for stock lines where an assembly existed with matching codes.If you used different codes for assemblies from stock, or had multiple assembly definitions for the same stock item, then this feature could not be used.

This new feature allows for the setting of an assembly code on the sales order detail record which would be used when creating a works order from the sales order.


During order entry, and it must be input prior to setting the works order flag, you can add an option to record the assembly to be used when creating the works order.<F4-Select> is available and allows selection of any assembly where the assembled stock code matches that of the current order detail. If left blank then any works order set to be generated continues to require that the assembly code matches the stock code of the order line.

Installation

Database Changes

A new data item is required on the sales order detail database to hold the assembly code to be used for the works order generation. To add this new item select Installation from the main menu followed by Application Manager and then Restructure a Database. Select the Sales Order Processing application, select to update the LIVE files and then select the Sales Order Detail database.

Once selected the data items within the order detail database are listed, move down to the next blank entry and press <Enter> to insert a new item.

Item Name Type Description

ASSEMBLY X (30) Holds the assembly code to be used for works order creation. Note the maximum size of the assembly code is 30 for Premier systems and 16 for Diamond systems.

Once the new item has been created and you have returned to the list of items press the <ESC> key and select the UPDATE button to update the changes. When prompted confirm to extract existing data to the new database and, if applicable, copy the table entries to the new database. The next prompt asks whether you wish to remove the old database – respond as required (we suggest you respond No to keep a backup) and the final prompt asks whether you wish to update the base file – again respond as required. If you choose to update the base file ensure the new item is created with the same name / type and at the same position as in the live file.

Set Database Profiles

The new ASSEMBLY item needs to be referenced within the Database Profiles. To update the profiles select Installation from the main menu followed by Application Manager and then Set Database Profiles. Choose the Sales Order Processing application and then select the parameter screen Detail Optional 6. On the left of the screen move down to the prompt for Assembly Code and reference the newly added data item, <F4-Select> is available if required.

If you have a ‘default’ assembly to use recorded against the stock item you may want to set a copy item to transfer this default into the new assembly data item on the order detail – the Copy STK to Detail screen allows you to do this.

Application Screen Layouts

The new ASSEMBLY item needs to be added to the order entry procedures either on the main detail screen or one of the selective detail screens. To update the screen layout select Installation from the main menu followed by Application Manager and then Application Screen Layouts. Select the Sales Order Processing application and then the menu option Maintain Order Details to display the initial entry screen. To add a data item to the screen first enter a text label for the input by positioning the cursor where required and then type on the screen the label required.To insert the data item itself position the cursor where required and then press <F4-Select> and choose the Assembly data item – once updated the system asks supplementary parameters for view-only, mandatory or upper-case input which can be set as required.
